Support & help›How early should I book a rental car for a trade fair?
Ideally as soon as your dates and hotel are confirmed; for major fairs, several weeks in advance. You'll have more choice then, especially for vans and saloons. Check the cancellation terms in case your plans change.
Can I get an invoice made out to my company?
You sign the rental agreement with the rental company, which also issues the invoice. It's best to ask in your request whether an invoice to your company with VAT shown is possible, and to include your company name and address.
Which vehicle is best for a trade fair stand?
For stand construction, displays and exhibits, a van is usually the best choice; for smaller quantities an estate car or small van is often enough. Measure bulky items beforehand and check the load space in the offer. Up to 3.5 tonnes, a standard category B licence is generally sufficient.
Can I rent a saloon with a chauffeur for trade fair guests?
Some rental companies also offer saloons with a chauffeur, for example for airport or station pick-ups. Whether this is possible and what it costs is something you agree directly with the rental company. Without a chauffeur, the usual requirements for age, driving licence and deposit apply.
Can several colleagues drive the rental car?
Yes, as long as they are all named as drivers in the agreement. Many rental companies charge a fee per additional driver per day. Each person must meet the minimum age and licence-holding period the rental company requires.

Build-up and dismantling at the exhibition grounds
Delivery vehicles often have fixed time slots, access rules and separate entry permits during build-up and dismantling. Check in good time with the trade fair organiser where you may unload and park. Allow extra time, as queues often form at the gates when a fair opens. Secure your load properly, as exhibits are often fragile and expensive.
Invoices and costs for your company
You sign the rental agreement directly with the rental company. Ask before booking whether you'll get an invoice made out to your company with VAT shown, and include your company details in your request. Factor in extras such as additional drivers, delivery and extra kilometres. If several colleagues will drive, all of them must be registered as drivers.
Book early for trade fair dates
During major trade fairs (in Frankfurt, Hanover, Munich, Düsseldorf or Vienna, for example), rental cars and hotels are in demand across the whole region. Send your request weeks in advance, as soon as your dates and accommodation are fixed. Read the cancellation terms: they are tiered by rental company and important if your trade fair plans change. Also check whether your hotel or the exhibition grounds have parking.
